Approving and rejecting submitted ideas

When idea approval is enabled, new submissions go to your Ideas Inbox for review before appearing on the public board. You can approve or reject each idea.

Idea approval is a company setting within the Privacy Add-on. If disabled, all ideas are published immediately.

What authors see

When idea approval is enabled, authors can see their own pending ideas while everyone else cannot. This lets submitters track their ideas without exposing them publicly before review.

To view their pending ideas, authors go to their profile menu and select My content → My Ideas. All their submissions appear here, including pending ones.

When they open a pending idea, a banner at the top displays: "This Idea is pending approval." The idea is visible only to them and admins until you approve it.

Reviewing pending ideas

  1. Go to Dashboard → Inbox → Ideas

  2. You'll see all ideas pending approval with a notification badge

  3. Click an idea to review the details

Approving ideas

Click the Approve button to publish the idea to your board. The submitter receives an email notification that their idea is now live.

Rejecting ideas

Click Reject and a modal will appear asking for a reason. This reason is sent to the submitter via email, so be clear and constructive.

Rejected ideas are logged in the activity history but don't appear on the public board.

Use rejection reasons as an opportunity to guide users toward existing similar ideas or explain why something doesn't fit your roadmap.
